Refund policy
Eligibility
Refunds are available only for fees actually received by Backup Flowhub. Because this website does not take payment, a refund request must reference an invoice number. Requests without proof of payment cannot be processed.
You are eligible to ask for a refund if you cancel in writing before the stated cut-off, if Backup Flowhub cancels a cohort and cannot offer a reasonable alternative date, or if we materially fail to deliver the programme described in your confirmation email.
Timeframe
For Atelier Seats and multi-session clinics, a full-refund request must reach us at least 14 calendar days before the first live session. Requests received after that cut-off are considered under the partial-refund rules below. Desk Pass refund requests must arrive within 7 calendar days of the access email and before more than two lecture blocks have been played, as logged on our hosting side.
Research Partnership cancellations must arrive at least 21 calendar days before the agreed kickoff date for a full refund. Later cancellations follow the partial schedule.
Full or partial refund
Full refund: 100% of the programme fee if you meet the timeframe above, or if we cancel without offering a replacement cohort within 60 days.
Partial refund for Atelier Seats: 50% if you cancel between 13 and 5 days before kickoff; 20% if you cancel after that but before the third live session; none after you have attended three sessions. Partial refund for Research Partnerships: 60% before kickoff but inside the 21-day window; 30% after kickoff but before the schema-review workshop; none after that workshop has been delivered.
If Backup Flowhub changes instructor, moves the cohort more than 10 days, or reduces live hours by more than 20% without your written agreement, you may choose a full refund or a seat on a later cohort.
Non-refundable items
Bank transfer fees charged by your bank, third-party tool licences you purchased, travel to Sukhumvit Soi 5, and privately printed materials are not refundable. Alumni-room access that was included with an Atelier Seat ends when a refund is issued. Custom reporting templates already delivered in a Research Partnership are non-refundable once handed over, even if later sessions are cancelled.
Refund process
Write to info@backup-flowhub.digital with the subject line “Refund request,” your invoice number, and the programme name. You may also use the contact form and select the refund topic. We acknowledge within two Bangkok business days and confirm the amount, if any, within seven Bangkok business days after that.
Processing time and method
Approved refunds are returned by the same method used to pay the invoice, usually a Thai bank transfer. Allow 10 to 15 Bangkok business days after approval for the funds to appear, longer if your bank sits outside Thailand. We do not refund in cash at the studio and we do not issue store credit in place of money unless you ask for credit in writing.
Cancellation by Backup Flowhub
If enrolment is below six confirmed Atelier Seats, we may cancel a public cohort up to 10 days before kickoff. You will receive a full refund or, at your choice, a transfer to the next published cohort. Research Partnership dates are only moved with your written agreement.
Exceptions
Nothing in this policy limits remedies you may have under Thai consumer protection law that cannot be waived. Documented illness or a company-imposed travel ban may be considered for a seat deferral even after the partial-refund window; deferral is not automatic and is not a cash refund. Chargebacks initiated without contacting us first may result in suspension of all studio access until the dispute is closed.
